The Role
The Reservations Manager & Groups & Events Coordinator holds operational responsibility for the resort’s reservations function and plays a key coordinating role across accommodation, dining, activities and events.
Reporting to the General Manager and forming part of the leadership team, the role ensures structured and commercially sound booking management while safeguarding operational feasibility and system integrity.
The position combines operational execution with commercial awareness, analytical discipline and strong cross-department coordination.
Key Responsibilities
Reservations & Commercial Discipline
Structured management of all bookings across revenue-generating areas
Safeguarding rate integrity and booking accuracy
Monitoring booking pace, occupancy and ADR patterns
Ensuring disciplined deposit and cancellation routines
Supporting budgeted revenue performance in coordination with the General Manager
Groups & Events
Managing group and event enquiries from initial contact through proposal, contracting and operational coordination
Preparing proposals, contracts and event orders
Coordinating site inspections and FAM trips
Ensuring seamless delivery of group and event experiences
Systems & Technology
Functional responsibility for PMS and booking infrastructure
OTA and distribution channel management
Accurate guest profiling and database development
Structured reporting and forecasting
Professional Profile
Minimum 5 years’ experience within reservations, revenue management, event coordination or operational leadership
Background from boutique, luxury or destination-driven hospitality
Experience working with international high-end guest segments
Strong PMS, OTA and booking system competence
Structured, analytical and commercially aware mindset
High attention to detail and operational precision

Primary workplace: Oslo Offices. On-site presence required unless otherwise agreed.

Title: Reservations Manager & Groups & Events Coordinator
Reports to: General Manager
The position forms part of the resort’s leadership team. The General Manager retains overall commercial and financial responsibility for the resort. The Reservation Manager & Groups & Events Coordinator operates under the strategic and financial direction of the General Manager.
Purpose of the Position
The Reservations Manager & Groups & Events Coordinator holds operational responsibility for the reservations function at Nusfjord Village & Resort and supports revenue & yield monitoring and management activities in coordination with the General Manager and the Revenue Management service provider. The role includes responsibility for client relationships, coordination of event logistics, successful delivery of group experiences and events from initial inquiry through to post-event follow-up.
Core purpose of the role:
- Ensure structured and commercially sound management of all bookings
- Safeguard rate integrity and booking accuracy
- Ensure timely enquiry responses and confirmation of reservations
- Secure operational feasibility across the resort’s integrated offerings
- Maintain disciplined booking, payment and cancellation routines
- Oversee effective utilization of reservation systems and booking technology
Support the General Manager in achieving budgeted revenue performance
Drive guest profiling: Ensure accurate data entry of bookings in coordination with the Front Office Manager, including accurate and precise data entry of guest data, capturing essential personal information such as nationality, date of birth, contact details, and travel documentation where required, dietary requirements, allergies, medical conditions, mobility needs, and any health-related considerations to ensure guest safety and comfort.
Build a guest database to drive repeat and direct bookings
Ensure prompt handling of special request and VIP reservations to ensure seamless delivery
Ensure prompt response to group and event inquiries (corporate, travel-by-interest groups, multigen travel, celebratory, social, tour groups, etc.).
Ensure effective preparation and delivery of proposals, contracts, and event orders
Conduct or coordinate site inspections and FAM trips to drive clientele portfolio and bookings
Negotiate rates and packages when required
The role combines operational execution with commercial awareness, requiring strong organizational and analytical skills, revenue management knowledge, excellent communication abilities, focus on attention to detail, ongoing proficiency in reservation software and PMS systems.
Scope of Responsibility
The employee is responsible for structured management of reservations across all revenue-generating components of the resort, including but not limited to:
Accommodation (all categories)
Dining experiences
Signature events
Guided activities and excursions
Maritime offerings and boat-related services
Retail packages and add-on products
Event enquiry response, proposal/quote development, contracting, planning and operational coordination with the onsite teams
Recruitment, training, in collaboration with the with Front Office Manager
Setting performance targets and KPIs
Development of service standards and corresponding SOPs
Responsibility includes both direct bookings and third-party distribution channels.
Overall revenue responsibility remains with the General Manager.
Operational Responsibilities
Reservation Administration
Ensure accurate and complete registration of all bookings in the PMS
Maintain updated availability, rate configuration and booking rules
Monitor booking pace and forward occupancy
Ensure operational feasibility prior to confirming reservations
Manage complex and high-value bookings
Commercial Contribution
Monitor occupancy levels, ADR and booking patterns
Provide structured input to pricing discussions
Identify upselling opportunities across relevant offerings
Protect rate integrity across distribution channels
Support implementation of pricing decisions made by the General Manager
The Reservation Manager & Groups & Events Coordinator supports revenue performance but does not carry independent revenue ownership.
Policy & Financial Discipline
Ensure deposit collection in accordance with established routines
Enforce cancellation policies consistently and professionally
Minimize revenue leakage related to booking errors or policy non-compliance
Ensure accurate booking documentation for invoicing
Escalate financial irregularities to the General Manager
Cross-Department Coordination
Ensure relevant departments receive complete and accurate reservation information
Coordinate capacity between accommodation, dining, activities and events
Identify and communicate capacity constraints in advance
Contribute to structured operational planning
Systems & Technology Governance
The Reservation & Booking Manager holds functional responsibility for the reservation system (PMS) and related booking infrastructure.
This includes:
- Ensuring correct configuration of rates, packages and availability
- Managing OTA extranets and distribution platforms
- Maintaining accurate guest data and segmentation
- Producing structured booking and occupancy reports
- Identifying system improvement opportunities
The role requires proactive use of technology to improve efficiency, reduce manual error, strengthen forecasting and enhance internal operational control.
Leadership Responsibilities
As a member of the leadership team, the employee shall:
- Participate in leadership meetings
- Contribute to strategic discussions within area of responsibility
- Support budgeting processes by providing booking and forecasting data
- Propose operational improvements
- Act in alignment with the long-term development of Nusfjord
The position may include supervision of reservation staff, if applicable.
Performance Evaluation
Performance will be assessed based on:
- Booking accuracy and system integrity
- Compliance with deposit and cancellation routines
- Contribution to occupancy and ADR performance (under GM responsibility)
- Quality of reporting and forecasting
- Cross-department coordination effectiveness
- Reduction of booking-related operational errors
KPIs may be defined annually in collaboration with the General Manager.
Professional Requirements
The employee shall possess:
- Minimum five (5) years relevant experience within hotel reservations, revenue management, event operations or similar
- Experience from boutique, luxury or destination-driven hospitality environments
- Experience working with international high-end guest segments
- Strong commercial understanding of occupancy and rate dynamics
- Demonstrated competence in PMS systems, OTA platforms and digital booking tools

The employee is expected to perform duties on-site unless otherwise agreed.

The role may evolve in scope in accordance with the development of the resort.
